Project Specialist

Job Summary:

The Project Specialist core team works with Plan 365 Project Teams to develop and execute administrative tasks and responsibilities related to the delivery of efficient, cost effective, and well-planned client marketing program initiatives from concept to wrap-up and reconciliation. Project Specialists will provide polished and thorough administration of program tasks across client teams through varied and simultaneous project support.

MARKETING PROGRAM IMPLEMENTATION: Supports project initiatives from conception to completion in working in tandem with Project Managers and Coordinators.
o Produces, prints and mails honorarium letters and expense forms.
o Facilitates FedEX process management from upload, coding, prioritization, and input to coding for final reconciliation.
o Coordinates payment processing, i.e. honorarium letters, expense forms, checks & expense reimbursements.
o Troubleshoots situations immediately, effectively and at the source.

DATA MANAGEMENT AND REPORTING: Responsible for flawless and thorough data management within project management system for multiple projects.
o Enters program information into the project database; cross-checks to ensure accuracy.
o Supports attendee registration management: facilitates registration capture, data input, cross-checks, confirmations, and reminders.
o Administers evaluation data input / analysis / reporting.
o Supports sign-in sheet data input / reporting.
o Supports wrap-up cross checks.

COMPLIANCE MANAGEMENT: Administers program information in compliance with regulatory and client-driven guidelines.
o Knowledgeable of clients’ corporate guidelines and procedures.
o Follows company compliance policy and procedures to ensure that client programming initiatives follow regulatory and corporate guidelines.

• Other duties and projects as assigned.

 

Physical Requirements:

Work is performed in a normal office environment . May require lifting or moving light material (up to 50 lbs). May occasionally require travel or work outside of normal business hours to accommodate clients in different time zones.

 

Qualifications:

BA/BS degree preferred, but not required. One to five years experience in an administrative or project management support role. Working knowledge of life sciences or high tech industry marketing models a plus. Must be able to manage time and prioritize work effectively, be a team player, work independently, meet stringent deadlines, and work well under pressure.

Project Manager

Oversees logistical development, implementation, and data metric management for client marketing program initiatives from concept to wrap-up and reconciliation.  Implements and optimizes program management based on client driven benchmarks within regulatory and client specific compliance guidelines.  Develops and maintains customer, supplier, and staff relations. Acts as an advisor to staff, service providers, and clients in all circumstances and makes informed suggestions to increase client ROI. Supervises management and reporting of all financial and compliance program data. Provides leadership to clients at every step of the strategy implementation process.

PRIMARY RESPONSIBILITIES

  • MARKETING PROGRAM IMPLEMENTATION: Consults with clients, co-workers, and service providers to determine client program objectives/requirements and make informed recommendations to maximize ROI.
    • Develops, presents, and executes ideas to enhance project outcome and reach client-driven business objectives.
    • Educates and advises clients and service providers of the meeting process and meeting life cycle.
    • Develops, manages, and obtains approval (if necessary) for all written program components to ensure project deadlines are met.
    • Negotiates contracts and coordinates other details with service providers.
    • Troubleshoots situations effectively and at the source.
    • Manages all meeting materials required for project execution.
  • DATA MANAGEMENT AND REPORTING: Initiates, develops, and manages program information within internal project management system for each client initiative from conception to execution.
    • Effectively multi-tasks and manages multiple programs and prioritizes work assignments for effective program management.
    • Works with the client to shape program information reports to best serve client needs.
    • Creates and presents Quarterly Business Reviews outlining the status of current programs, budget consumption, and suggestions for strategic growth or increased ROI.
    • Ensures accounting processes are followed and financial deadlines are met to facilitate collection of all aggregate spend information.
  • COMPLIANCE MANAGEMENT: Directs program implementation in compliance with regulatory and client-driven guidelines.
    • Serves as a resource to co-workers with regard to regulatory guidelines and clients’ corporate procedures.
    • Plans and executes program activities and process according to regulatory guidelines and clients’ corporate procedures.
    • Manage service providers such as venues, speakers, and transportation as required to ensure compliance.
    • Leads regular status meetings with venue and staff to ensure customer requirements are met.
  • Other projects and duties as assigned.

QUALIFICATIONS

  • Education and training normally associated with completion of a four year degree in a business-related program.  A minimum of three years of experience in project management or roles directly related to marketing program and logistics implementation.  Knowledge of life science or high tech industry go-to-market models a plus.  Must be able to manage time and prioritize work effectively, multi-task, be a team player, work independently, meet stringent deadlines, and work well under pressure.

Project Coordinator

Works with Project Managers to develop and execute logistical tasks and responsibilities related to the planning and implementation of efficient, cost effective, and well-planned client marketing program initiatives from concept to wrap-up and reconciliation.  Responsible for program tactics and administration process management.  Ensures data accuracy.  Acts as a resource for clients, service providers and other staff with regard to guidelines, procedures, and processes.

Primary Responsibilities

  • MARKETING PROGRAM IMPLEMENTATION: Supports project initiatives from conception to completion in close teamwork with project managers.
    • Understands project services scope, specifications and takes responsibility for assisting with different aspects of project execution (including program logistics management, venue and speaker confirmation, registration monitoring, program materials, and post-program wrap-up).
    • Manages all meeting materials required for project execution, i.e. invitation customization, meeting checklists, itineraries, surveys, etc.
    • Produces, prints and mails honorarium letters and expense forms.
    • Facilitates FedEX process management from upload, coding, prioritization, and input to coding for final reconciliation.
    • Coordinates payment processing, i.e. honorarium letters, expense forms, checks & expense reimbursements.
    • Attends and participates in client meetings and conference calls.
    • Serves as a resource to service providers to ensure successful program outcome.
